Hi Tina, I was once a client of Chinese virtual assistant. I think the most important thing is communication. I was often busy with my work, and sometimes didn't give them some instructions about my tasks. But they usually sent me a reminder or made a call to know whether they were on the right track. I do appreciate that. So I think if there are something you feel unclear about, just go ahead to contact your clients.

Unfortunately, I have had the same experience as Matthew and Mike. We were a TollFreeMax customer, and OneBox completely botched the transfer of pretty much all of our toll-free numbers. It was an absolute nightmare. Not until we filed a complaint with the FCC did they allow us to port our numbers out. Amazingly, the FCC investigator assigned to us still had a lot of trouble even getting through to the J2 legal department. I'm glad we're moving services. I completely lost faith in this company.

Hi,Tina -

I think you make some great points, but I did find two or three typos in your post, too - everyone is human, and sometimes we can read and re-read something many times and still miss a few things - I usually suggest letting someone else read it, too. :)

I like to say that while many VAs have exceptional skills in the services they would like to provide, they lack the passion to run their own business.

It's very difficult to wear all the hats - sales, purchasing, marketing, payables, receivables, etc., etc., and for many of us, also run an active household.

But you're absolutely on the mark with your red flags and I hope that more folks use this informaiton to help them become successful.

I get quite a few 'sub' requests, too. Many who have no business at all and use all their energies in marketing to other VAs - this may not be the best option for building a strong business, unless the services you provide are really focused on a VAs needs.

I especially like that you encourage people to get systems in place - it's one of the main things I work on with the VAs I coach, and it's always incredible to watch the transformation to a profitable and growing business.

Wishing you all the best of continued success, and thanks so much for taking the time to provide this great information. ;)

Hi Dave,
Great questions, thanks for asking. Any virtual assistant with an ounce of professionalism is going to desire to complete designated tasks in a manner that satisfies the client. Thus, if I were a virtual assistant who offered receptionist type services, I would naturally ask how calls should be answered, etc.. As for e-mails, again, I take a certain amount of direction from my clients. For example, when e-mailing for clients I generally sign the e-mail with my name and the designation, 'Virtual Assistant for XYZ Co." unless I've been instructed that the e-mail should be sent directly from my client.
As far as communicating clearly for the best results, be as specific as possible. Don't assume anything, at least not until you have built a relationship with your virtual assistant. The more information you can give a VA about how their tasks for you fit into what you do in your business the better. It is like completing a jigsaw puzzle, we VA's are providing you with puzzle pieces to complete your business picture. It's infinitely easier to find the appropriate pieces when you have a picture of what the completed puzzle should look like.

Hi Tina,

Interesting points.

You say "As a client you may only control and direct the result of the work, not the means and method of how that end result is accomplished."

I'm curious where you see the line here, for example, if a client has specific standard operating procedures. Things like incoming or outgoing phone calls, email responses, etc. come to mind. As a client, you wouldn't just say "Handle my phone calls", right?

Not the best example maybe, but how do you think a client should phrase a work request for the clearest communication and best results?

I was a customer of TollFreeMax.com until early 2009 when Toll Free Max was acquired by j2 Global Communications, Inc. and its subsidiary Onebox. Tollfreemax was good in that I had few problems.

Onebox has been hell. They send me blank emails 3 times a week cluttering up my mailbox. I complained about this 3 times via email and they never responded. I called customer support and waited on hold for 10 minutes until some foreigner, probably in India, tried to assist me in updating my credit card information. It was a terrible experience dealing with him as he didn't seem to know what the hell he was doing.

I don't recommend Onebox. I'll be looking of an alternative soon.

As a small business owner, outsourcing work to Virtual Assistants is fast becoming a popular and intelligent decision. The business owner saves enormous amounts of money by cutting the costs of offices and equipment overhead as well as expensive benefits packages.
I'd agree with that now as I've been well acquainted the past 8 months. Twitter is what you make of it and I view it as the Telephone.

Upon the installation of her first phone, Eleanor Roosevelt was quoted as saying, "The phone is just an annoyance and interruption to our private lifestyle."

Is Twitter an annoyance in your life or is it part of your lifestyle as an entrepreneur? The choice is yours.

Nice job.

Love it! I have also felt and heard about "twitter stress syndrome" -- where you feel the need to read every tweet every person you follow has written. As a cure of sorts, I created my own "Zen of Twitter" -- I believe the tweets I am meant to see will be on my screen when I look at it. The rest are ok to let go...

Yet another great post -- keep up the good work @SparkyFirePants!

Nice post. I have been on twitter since november 2009 and I must say its a great networking site. Since I am virtual assistant I have few clients who need social bookmarking service and your post would really help. I agree its not a number game.

Another thought that can be done once you have posts on your blog you can use that content to create free reports in PDF form for downloads, tips for eNewsletters, create a video around that information for video marketing...and soo much more. I am a member at VAnetworking.com and this forum has so much going on that I get a lot of inspiration for topics from the comments and questions posted there.
My company pays about $100 per month for Onebox pbx service. Our number has been active for 4 years and is the main line that all of our customers have to reach us.

Our number became inoperational early one day and Onebox informed us that they would have it up by the evening which already cost a few hundred dollars in lost revenue.

Onebox failed to have it up and failed to follow up with communication. One week later, and a few thousand dollars in lost revenue as well as lost goodwill from repeat commercial clients, the number was still down.

Virtual PBX is typically used by small businesses. Our phone numbers are an integral part of our businesses and a great deal of trust is put into the companies that manage our phone lines. Onebox violated this trust resulting in significant financial damages.

Having your own web presence is extremely important for building your own business - and showcasing what you have to offer your future clients. I like the idea of providing resources and reasons for people to come back.
